Just got the responsibilty of making up the calendar, need help

My director just added on a new responsibilty, making up the activity calendar. Her way of doing the calendar(the format)is extremely complicating. She uses excel words and it takes up so much time. Does anyone uses a different method of developing their calendars? Please, i need all the help I can get.
